Ovato collects information to provide GP Advertising, services that meet the requirement of its advertising and production system known as BRUCE. More specifically this means providing the hardware, software and systems to produce printed and online advertising and marketing material for Harvey Norman and affiliates including GP Advertising.
The information collected by Ovato permits you to access systems securely, while providing account management, authentication, authorization and auditability of systems.
To achieve this goal, you are setup with your own user accounts with system access based on role and job responsibilities.
When you sign into a computer system or application, Ovato collects information that is stored with your user account.
When you create content, you provide Ovato with personal information that includes your name, password and email address. You can also choose to add a phone number or mobile number to your account.
Ovato also collects the content you create, upload or receive from others when using our services. This includes things like, images, videos you save locally or to a server on the network and documents you create, modify or delete.
Ovato collects information about the applications you use to access services provided by the company, like BRUCE and MediaBank and services provided by third parties include Adobe Creative Cloud, Adstream and Microsoft Azure.
The information that Ovato collects includes unique identifiers and settings username, password and application version number. Ovato also collects information about the interaction of your applications and devices with our services including IP address, crash reports, system activity, date, time and referrer URL of your request.

Ovato collects information about your computer IP Address that provides the locality of your computer on the network, which helps us to improve network performance by segmenting the network based on system access requirements.

We also use your information to ensure our services are working as intended, such as tracking errors upon a job export or troubleshooting issues that you report to Ovato Support. And we use your information to make improvements to our services – for example restricting job exporting if the effective dots per image (DPI) of an image is too low and will cause poor quality results.
Ovato reports to GP Advertising management, the available free space of systems and the storage of music and movie files on your local computer or network shares. This allows limited system storage space to be managed effectively and also assists in protecting the company and other users from content that is not work related and which may be deemed inappropriate or offensive in nature.
We use the information we collect in existing services to help us develop new services, features and functionality. For example, understanding how people use existing tools and how interfaces can be changed to improve workflows and usability.
Apple Remote Desktop (ARD) is installed on the Apple Macintosh computers and is used by Ovato to provide remote support and administration of the computers. The software provides direct input control (mouse and keyboard) and screen sharing allowing Ovato Support to provide you with support and to see and troubleshoot any issues that you may be experiencing on your computer.
We use information we collect, like your email address to interact with you directly. For example, Ovato may send you a notification if a reported when a customer support case has been resolved and closed or when there will be a scheduled system outage.
We may send out periodic emails informing you of upcoming changes or improvements to our services or send you general information like security best practices and how to protect yourself when online.
We use information to help improve the security and reliability of our services. This includes restricting user access based on username, group membership and preventing and responding to system abuse, security risks and technical issues that could harm Ovato, GP Advertising, our users or the public.
We use different technologies to process your information for these purposes. We use automated systems that analyze your content to provide you will things like user preferences or other features tailored to how you use our services. And we analyze your content to help us detect abuse, such as spam, malware and illegal content.
We may combine the information we collect among our services and across your devices on the Ovato network for the purpose described above. For example, access to the Internet for a mobile device might be restricted by Media Access Control address, network subnet and also by a username and password.
As part of securing critical systems we use encryption to keep your data private when in transit between your website and the BRUCE website. We review our information collection, storage and processing practices, including physical security measures to prevent unauthorized access to our systems.
We restrict access to personal information to Ovato Support and Infrastructure employees and support agents who need that information in order to process it. Anyone with this access is subject to strict contractual confidentiality obligations and may be disciplined or terminated if they fail to meet these obligations.

Upon receiving your request, a Customer Support Case will be created and provided for reference. Support will then proceed with collecting and providing you with a copy of your requested personal information. Depending on the specific request, it may take a few days to collate and provide the requested information.
Once you have been provided a copy of your requested information, the Customer Support Case will be kept open allowing time for you to review the information and to request corrections or amendments to any of the information provided.
If you request that your user account(s) are deleted than this will restrict you from accessing some or all services and systems provided by Ovato and as a result management at GP Advertising will be informed of such requests.
Ovato doesn't actively monitoring Internet browsing however all modern browsers cache websites and browsing history to improve performance. The method for clearing your browsing cache and browsing history is dependent on the actual browser. For Google Chrome, (1) select settings, (2) scroll down to Reset Settings and then select Reset. For other browsers you may need to contact Ovato Support to confirm the progress for your browser of choice.
Many of our services let you share information with other people, and you have control over how you share. For example you can collaborate on and add comments and mark up to a job that other users can see within the BRUCE system.
When you're signed in and interact with some services, your name, date and time appear next to your activity.
Ovato collects information to provide GP Advertising and doesn't share your personal information with third parties outside of the organisation.
Ovato will share your personal information outside of GP Advertising when we have your consent. For example, you may request to share your contact number with a service technician from Xerox so you can be informed once they arrive onsite to repair a printer. We'll ask for your explicit consent to share any sensitive personal information.
We provide personal information to our affiliates and other trusted businesses or personas to process if for us, based on our instructions and in compliance with our Privacy Policy and any other appropriate confidentiality and security measures.

Ovato maintains servers onsite at GP Advertising and offsite for backup and redundancy and your information may be processed on servers located at a remote site within Australia or another country.
